Inviting via WhatsApp: how to do it right

· 3 min read

Inviting via WhatsApp is the fastest way: one message and everyone has it. It goes wrong in two places: the invitation drowns in the group chat, and the replies come in as loose messages you have to keep track of yourself. The fix is a message with a link to one page where everything lives and where guests reply, so the chat can be a chat again. Below is how to go about it.

Group chat or personal message?

A group chat works for a small, close group that knows each other: friends, the family. Everyone sees who is coming, and that is contagious. The downside: within a day the invitation sinks below the replies, and whoever muted the group misses it.

A personal message works better for a larger or mixed group, for a surprise party, and for anything where you want to know per person whether they are coming. It takes more time to send, unless you do it automatically.

What do you put in the message?

Keep it short. The message is the doorbell, the invitation is the page behind it:

  • One line about what you are celebrating and when.
  • The link to the invitation.
  • One line about what you expect from the guest: "Let me know through the link whether you're coming."

Example

"Hey! I'm turning 40 and celebrating on Saturday 20 June. Everything is here: [link]. Will you let me know through that link whether you're in? See you then!"

No long text in the chat itself: it does not get read and does not get found again. Everything guests need later (address, time, parking, gift tip) lives on the page behind the link.

Keeping track of replies

Let guests reply on the invitation itself, not in the chat. Then you do not have to count messages and you see in one place who is coming, who is not and who has not said anything yet. At YourInvited that is your studio; the reminder to those who have not replied goes automatically, so you do not have to chase anyone yourself.

Every guest their own link

If you want to know per guest who opened the invitation and replied, you give every guest a personal link. With the Invite via WhatsApp and SMS module (€4,99 per event) you send those links from your own phone, with one tap per guest, straight to their number. No group chat needed, and you see per guest who replied.

Frequently asked questions

Can I just forward a digital invitation as an image?

You can, but then you lose the replying and the editing. An image is a photo of an invitation; a link is the invitation itself, with the reply button, the route and everything you still change later.

What if someone does not have WhatsApp?

The same link works by SMS, by email or in any other chat. A guest without a smartphone opens it on a computer, or gets a phone call.

How do I keep the link from getting lost in the group chat?

Pin the invitation to the top of the group, and send a short reminder with the link again a week before the reply deadline. Or send every guest a personal message; that does not get lost.

Make your own invitation?

Pick a style, add your own text and photos and share one link. Starting is free; a paid style costs €4,99 or €7,99 once, per event.
